Personal Assistance

Executive support for CEO, COO and executive team:
•Screen calls and manage emails (& correspondence)
•Contacts & Calendar management
•Coordinate customer/partner meetings
•Coordinate and create board packages
•Provide computer & IT support
•Coordinate logistics for programs, conferences, tradeshows and speaking engagements
•Process expenses and reconcile credit card expenses
•Create filing system and processes/procedures for maximum efficiency
•Domestic and international travel planning, meeting scheduling, and create point to point itinerary
•Manage contacts through Salesforce, ACT! Or MS Office (using card scanner or daily entry as they filter in)
Office Manager:
•Event planning (sales meetings, company parties, speaking engagements, seminars, off-sites)
•Provide basic IT support (troubleshoot) PDA’s, laptops, printers & faxes
•Assist team executives with travel, hotel, speaking engagements, conferences & tradeshows
•Review purchase requisitions, purchase orders, invoices and expense reports for appropriate documentation and approval prior to payment; reconcile monthly American Express credit card statements and reconcile and manage petty cash
•Manage new hire process (cubicle configuration, laptop configuration, set up of email and user id’s, new hire orientation, etc.)
•Building/Facility management and of all office equipment and supplies, including ordering and vendor selection and coordination
Sales Operations:
•Salesforce Administrator; daily maintenance of database, daily, weekly, monthly and quarterly reports
•Manage and maintain customer records including software license agreements, support renewals, non-disclosure agreements, etc.
Recruiting/ Human Resources Coordinator
•Manage recruiting process & activities, contractor documentation and offer letters
•Maintenance of Personnel and HR files; HRIS database maintenance
•PTO tracking; Benefits administration & open enrollment periods
•Establish new hire orientation & Exit Interviews
•Development of company policies and procedures & the Employee Handbook
•Employee Programs, Incentive Programs, Community Outreach Programs
•Keep management informed on (updated) HR issues
•Coordinated logistics for travel, hotel, transportation, interview schedules, video conference calls, etc. with candidates and clients
•Write job ads, post open positions on approved job boards
•Prescreen and qualify candidates for open positions in order to find relevance, culture fit, compensation history, and uncover skill sets and possible concerns
•Maintain database of candidate information and networking information; maintain the Applicant Tracking System
