Long Description:

KNOW VA-LEI'S WORK EXPERIENCE:
I. Administrative Assistant in Accenture Philippines from Feruary - August 2007, I was responsible in providing remote assistance to 15 managers and 280 resources in the following service areas:
I. RESOURCE MANAGEMENT
- Roll in/off facilitation – assist managers and resource in accomplishing tasks identified in the rollin/off checklists. Fulfill tasks assigned to PCS, especially the updating of project files. Include the maintenance and ensure updated information in the Employee/ Contact list and ATR website of HRD.
- Organization Chart/ Contact List/ Employee List –for updating whenever there is a roll-in/off, change in team and change of billing status of resource.
- Seat Planning/ Seat Charge – for updating whenever there is movement and will serve as reference for the seat charge computation and asset management.
- Asset Management – related to seat planning changes/ updates. Proper recoding of asset tags and assigned resource per asset.
- Supplies Monitoring – monthly supplies inventory and replenishments for the project.
- Project Sharepoint Maintenance – upload/ delete files for reference of managers and project resources

II. FINANCIAL MANAGEMENT
- Time Sheet Monitoring and Submission – coordinate with managers the on-time submission of ARTES soft and hardcopies. Compose monthly time report submission reminder, monitor submission of softcopies of time reports, prepare delinquency reports and inform managers of missing files and use project-tool in submitting the time reports to Controllers in China and Philippines. Confirm submitted time report files and inform managers of any changes/ adjustments for next pay period.
- On-Call Premiums Reporting – consolidate on-call charges and submit on time-approved report to finance department in Philippines.
III. QUALITY MANAGEMENT
- Meeting Logistics/ Concierge – assist the project managers in reserving meeting venue within company’s sites and coordinate food request with the concierge. Ensure that meeting venue is prepared as well as other tools needed. Coordinate the delivery of food requests.
- Metrics Reporting – use project tools in composing metrics report for use of managers

II. Management Staff Roles and Responsibilities I performed in Colegio de San Juan de Letran Manila Philippines from June 2002-May 2006:
Responsible for effective and efficient office management such as the following:
GENERAL TASKS:
• Ensures systematic flow of transaction in the office
• Encodes / types and formulates documents/ reports
• Distributes communication Letters and memoranda to different departments
• Maintain the confidentiality on information and communication
• Arrange and maintain filing systems (manual & computerized)
• Receives visitors and phone calls courteously
• Ensures accuracy in handling messages received
• Record and prepare minutes of meetings
• Arrange appointments and working schedule of the Head
• Coordinates with travel agencies for bookings, reservations, other inquiries
• Performs other duties assigned by superior

DEPARTMENTAL TASKS:
I. ACCREDITATION
• Collates and prepares documents to be presented as exhibits/appendices for accreditation purposes.
• Assist the Assistant of the President for Accreditation in planning the activities for accreditation. Support in the preparation of schedule table of tasks, coordination with different departments in accomplishing the tasks, schedule meetings and follow-ups, issue management tracking and reports generation.
• Organize and secure appendices, exhibits and other pertinent documents (includes proper labeling and storing in a secured area).
• Gather information relevant to the accreditation requirements and report to the supervisor.

II. VICE-RECTOR/PRESIDENT FOR ACADEMIC AFFAIRS
• Assist the Deans of Colleges, Principal, Assistant Principals, Area Chairmen, Subject Coordinators and other staffs in ensuring that all test questionnaires have been reviewed and approved.
• Coordinate with proper authorities’ issues concerning test examination and issues raised by students against teachers and vice-versa.
• Communicate with the supervisor requests for one-on-one meetings by parents, teachers and others.
• Compose memorandum and minutes of the meeting when necessary or as instructed by the supervisor.
