Fleet Support Group: November 2006 – February 2007
Office Administrator
My role here was to organize the Contracts department, who (upon my arrival at the company) were a team that had few processes in place and were very much feeling the strain. I standardized all procedures and ensured that all team members used their diaries and logged all of their actions correctly. I frequently reviewed all task lists in order to ensure that each responsible person completed their tasks in a timely and accurate manner. The closer management of the team resulted in greater efficiencies, which produced both resource and cost savings for the department.
In addition to team organisation I was also able to provide a supportive role to the team, creating in depth client reports, taking and producing minutes and negotiating client contracts.
AMEC Building & Facilities Services: July 2006 – October 2006
Administrator
I started at AMEC in Glasgow as a temporary administrator. However, after three months in the role I was offered the permanent position of Projects Coordinator, which my manager created for me. Unfortunately, I was unable to accept this offer as my stay in Glasgow ended the following month.
Future Publishing, Bath: July 2004 – May 2006
International Licensing Coordinator
My role here was varied and my days were always very busy. There was no real structure to the job and so in each working day there was always a new challenge. As the department coordinator I was the main point of contact for all licensees, so it was important that I built and maintained solid relationships with each one.
I was responsible for our website, which I designed (organizationally, rather than technically) with our client’s interests in mind. The aim was to make their lives easier and, from the moment that the project went live, it was a huge success. Since launch, I was in charge of the maintenance and constant development of the site. I decided that we could give clients an even better service and so began the process of training the American, French and Italian magazines teams to use the system.
Other responsibilities included:
• Copyright – there are legal reasons why licensees cannot use certain material from magazines. I collated this information, negotiated worldwide usage with contributors if possible and made licensees aware of restrictions.
• Royalties - I collected sales and revenue information on a quarterly basis, made the necessary calculations and ensured that clients were invoiced for any royalties due.
• Conferences – approximately twice a year, Future held a large, 2-day conference for all licensees from around the world. I planned the logistics of these events and coordinated all aspects, including agendas, hotel bookings, sponsors and speakers. I also attended the evening meals and parties, helping to entertain the clients.
• Client support - clients came to me if they had any questions or problems. My contacts ranged from the MD of a publishing house in Italy, to the administrator of a company in Russia.

Information Technology
During my first year at university, I partook in an Information Technology course, which greatly expanded my use of many computer systems. I can now work very confidently with most Microsoft computer programmes, including Word, Excel, Outlook and PowerPoint. I also have a basic knowledge of Access. As well as this, I can quickly grasp how to navigate computer systems that are specific to a particular company, as was demonstrated with my time at Lloyds TSB and HMCE. As mentioned previously, part of my role at Future Publishing was to oversee the development of the licensing website. Whilst working on this I taught myself how to use html script and how to play with information ‘behind’ the surface of the website.
Skills
Due to my experience in many different types of office environments, I have developed excellent inter-personal skills and can now deal with others (both clients and fellow employees) in a sensitive and appropriate manner. I have the ability to learn quickly and listen carefully to instructions, acting upon them both efficiently and appropriately. My excellent organizational skills allow me to prioritize work, which helps me to successfully meet deadlines. Additionally, my leadership skills are strong as I am able to delegate tasks in a directional yet amiable manner and I am able to work well as part of a team. Perhaps most importantly though, I am a highly motivated individual and am well practiced at using my own initiative in the workplace.
